Hire terms & conditions
These website terms provide a practical summary of our standard booking and hire process. Full booking-specific terms and conditions are supplied with the written hire agreement / contract issued for each booking, and may include tailored provisions to reflect insurance, venue requirements and the agreed services.
Important note about the full hire agreement
These website terms are a general guide only. The complete terms and conditions for a confirmed booking are supplied with the written hire agreement / contract issued for that hire. That document may contain additional or tailored provisions relating to insurance, deposits, bonds, venue requirements, cancellations, delivery, use of equipment and other booking-specific matters. By proceeding with a booking, the customer is expected to review the written hire agreement before confirming.
1. Quotes and booking confirmation
Displayed hire prices are indicative and in Australian dollars. Delivery, setup and collection are included in advertised base prices for venues within 30 km of York. For more distant venues the travel fee described below applies, and difficult access or special requirements may incur an additional charge only as stated in the agreed quote. An enquiry does not reserve equipment. A booking is confirmed only after we accept it in writing, the customer accepts the agreed hire conditions, and any required deposit has cleared.
Delivery and collection travel charges
Delivery, setup and collection are included in the advertised hire price for venues within 30 km driving distance of York, Western Australia. For venues beyond 30 km, only the additional one-way kilometres over 30 km are charged at $1.50 per kilometre for the delivery visit and again for the collection visit. The calculation is (one-way kilometres from York minus 30 km) × $1.50 × 2. For example, a venue 50 km from York incurs a $60 travel fee in total. Distances are based on a reasonable driving route from York to the venue. We confirm any travel fees in your written quotation before you book. Special access requirements may be separately quoted and agreed.
Travel is calculated for one delivery visit and one collection visit. This published pricing does not charge the vehicle’s empty return trips between those visits. The final venue distance and total travel fee are confirmed in writing before a booking is accepted.
2. Hire period, delivery and collection
Daytime hire is up to five hours within agreed start and finish times. Overnight hire is collected during an agreed daytime window the following day. We agree access, setup, demonstration and collection arrangements before hire. The customer must provide timely, safe access and an appropriate location for the supplied equipment.
3. Payment, deposits and bonds
We provide the total hire charge, applicable travel fees, required deposit and any refundable bond in the written quote before the booking is accepted. Payment is by bank transfer or cash if arranged in advance; the website does not take online payments. Bond return is subject to checking the returned equipment and any properly documented deductions for loss or damage beyond normal wear, as explained in the agreed hire terms.
4. Customer responsibilities
The customer must keep equipment in the agreed secure location, use it only as demonstrated, protect it against liquids, weather, theft and misuse, and ensure users act responsibly. Equipment must not be sub-hired, tampered with or relocated without agreement. The customer should promptly notify us of faults, incidents or damage.
5. Venue and safety requirements
Equipment setup is subject to safe space, suitable mains power, weather protection, access and venue approval. Fog effects are subject to venue and fire-safety approval. We may decline an unsafe setup and will discuss practical alternatives where possible. We do not provide event supervision, a DJ or music licensing on the customer’s behalf.
6. Changes, cancellations and interruptions
If event details change or the customer needs to cancel, contact us as soon as possible. Any specific cancellation arrangements, refund entitlements, unavoidable costs or applicable charges must be clearly set out in the written quote and agreed before a booking is confirmed. We will act reasonably and comply with applicable law. We will discuss options if weather, safety, access or circumstances outside either party’s reasonable control affect delivery or use.
7. Loss, damage and liability
Wheatbelt Party Hire operates as a fully insured business. We may ask the customer to cover damage, missing equipment or loss resulting from failure to take reasonable care during the hire, subject to the agreed hire terms, applicable law and any relevant insurance arrangements. Normal wear and tear is excluded. Neither these terms nor a booking quote excludes or limits rights and guarantees that cannot lawfully be excluded under the Australian Consumer Law.
8. Privacy and enquiries
Information provided for an enquiry or hire is handled as described in our privacy notice. We may contact you to clarify event requirements and provide a quote.
